BACKGROUND
Yayasan ADRA Indonesia is a humanitarian organization and belongs to the worldwide ADRA
network, comprising more than 120 supporting and implementing country offices. The mission
of ADRA is to serve humanity thus all may live as God intended through Justice, Compassion,
and Love as its main values. ADRA Indonesia has been working in Indonesia since 1981 and
registered as a local Non-Governmental Organization (NGO) in 1991.
This Project intends to work with sub-national government and church leaders in developing a
contingency plan and to improve preparedness, so they will be able to provide humanitarian
assistance and protection to internally displaced people (IDPs) if a humanitarian crisis occurs.

FUNCTIONS OF ROLE
The role of the Finance-Administration Assistant is to ensure that all supporting documents
relating to finance and administration are correctly handled and to assist the project manager in
project implementation. The Finance and Administration Assistant will be responsible for the
overall financial recording of activities and assisting the project manager in organizing project
activities.

DUTIES AND RESPONSIBILITIES
The Finance and Administration Assistant will oversee the administration and financial
activities, including procurement for related activities, and is required to undertake the following
tasks:

Cash Management and Record Keeping

  • Ensure adherence to financial procedures and policies, safeguarding cash and ensuring
    compliance with donor regulations.
  • Manage cash flow in the field, including handling petty cash and processing bank payments
  • Ensure accurate disbursement and receipt of cash
  • Maintain accurate and up-to-date financial records of all cash transactions, including
    receipts, disbursements, and reconciliations.
  • Ensure documentation is complete and compliant with organizational and donor
    requirements.

Financial Monitoring and Reporting:

  1. Assist the Project Manager with financial updates, including budgeting, tracking, and
    monitoring expenditures according to DIP on a monthly basis.
  2. Prepare financial reports as required, ensuring accuracy and adherence to donor
    requirements.
    Administrative Support:
  3. Manage day-to-day administrative tasks to ensure the smooth operation of the project office.
  4. Provide logistical support for meetings, workshops, and field visits, ensuring all necessary
    materials and arrangements are in place.
  5. Assist in preparing and processing project-related documents, including contracts and
    procurement requests
  6. Monitor and manage the inventory of project equipment and supplies, ensuring proper
    storage, maintenance, and utilization.

QUALIFICATIONS AND COMPETENCIES REQUIRED

  • Possessing a high level of integrity and self-motivation; being honest and trustworthy.
  • A university degree (minimum Diploma 3) in accounting or financial management.
  • Knowledge of the use of spreadsheets (MS Excel) for reporting purposes and other MS
    Office applications.
  • Strong attention to detail and preciseness in the execution of tasks.
  • Poses solution-oriented working approaches and negotiation skills.
  • Applicant from Papuan is an advantage.
  • Domicile: Local in Papua Barat Daya / Papua Tengah
